A responsive covering letter is sent to a potential employer who has specifically advertised for a position or vacancy. A covering letter will usually be attached to a CV or application form, but it is crucial you get the content right as a poor covering letter may mean your CV or application form is never read.
Your responsive covering letter should follow a standard letter format. The main sections of a responsive covering letter are covered below:
Opening greeting
- Where possible include a specific named contact e.g. ‘Dear Mr Smith’.
- If you do not have a specific named contact use ‘Dear Sir/Madam’.
Job reference
Add a job reference code to the top of your letter, so the employer knows which job you are interested in applying for.
Opening statement
Get to the point quickly with a strong opening statement that references where and when you saw the job advertised.
Supporting statement
- This is your opportunity to sell yourself, explaining where your experience fits the job you are applying for.
- Refer to any documents you have enclosed, for example, your CV or application form.
- Explain you can do the job, highlighting your abilities and skills.
- Explain you will do the job, highlighting your commitment, motivation and effort.
- Explain you will fit in with the company, highlighting how you have worked with different types of people or in a similar environment.
- Tell the employer why you want to work for them and why you applied for this job.
- Ensure you reference the specific job you are applying for and explain why you are the best candidate for this job.
Closing statement
- Thank the employer for considering you.
- Re-state your commitment and enthusiasm for the specific job.
- State you are available for interview at the employer's earliest convenience.
Complimentary close
- If your letter starts ‘Dear Mr Smith’, use ‘Yours sincerely’.
- If your letter starts ‘Dear Sir/Madam’, use ‘Yours faithfully’.
